Website enquiries and accounts

When you make an enquiry, we collect the name, work email, agency, phone number and message you provide so we can respond. Your name and email are required to reply; the form marks the other required fields. You can choose not to submit an enquiry.

Staff accounts hold a name, email address, access permissions and account preferences. Password sign-in uses a password hash. Google sign-in verifies your email address. Session cookies keep you signed in, and browser storage remembers interface preferences.

Agency records

Scout processes records provided by the agency through its CRM, including contact details, property information, notes, enquiries and call outcomes. It uses these to prepare call lists, match buyers, support recruitment and review data quality. Where enabled, ownership checks use licensed LINZ information and other configured sources.

Rankings and summaries help staff decide what to review. They are estimates, not verified statements of a person's intentions. Staff should check source records before acting.

Who can access information

Agency staff access the modules their administrator grants. Notes and relationship information have additional ownership and team controls. Agency administrators have broader access for support and oversight.

The service uses Cloudflare for hosting and storage, GitHub for scheduled processing, Google and Resend for email, and connected agency systems such as VaultRE and HubSpot. Enabled AI features send relevant text to Anthropic to produce summaries or assess signals. These providers may process information outside New Zealand.

Feedback includes your account, page and technical context so administrators can investigate. A screenshot is optional. Only attach information needed to explain the issue. Service referrals are sent to the selected service recipient when a staff member submits them.

Access, correction and questions

Contact Rick about Scout privacy to request access to or correction of personal information, ask about retention or removal, or raise a concern. If a record belongs to an agency, we may need to work with that agency to respond and correct its source record.
